Connect work orders to the inventory behind them with our new integration.
Property maintenance depends on having the right parts, supplies, and materials ready when technicians need them. But when work orders live in one system and inventory lives in another, keeping the two aligned can mean duplicate entry, missed updates, and time spent figuring out what was actually used after the work is done.
That’s why we’re excited to introduce the Sortly and AppFolio Stack integration, built to connect AppFolio work orders with Sortly’s dedicated inventory and asset management.
With the integration, maintenance teams can keep managing properties and work orders in AppFolio while using Sortly to manage the physical inventory behind the work. Technicians get a simple, mobile, scan-first way to record inventory usage, while operations teams get a more reliable view of what’s being used, where inventory is located, and what may need to be replenished.
AppFolio work orders meets Sortly inventory management
For property operations teams, maintenance inventory rarely stays in one place. Parts might start in a central warehouse, move into a property stockroom or service vehicle, and eventually get used on a work order. Keeping track of that activity gets harder when the work order and inventory record are disconnected.
The AppFolio Stack integration brings those workflows together without asking your team to replace the tools they already rely on. AppFolio continues to manage your properties and work orders. Sortly manages the inventory, parts, supplies, and tools that supports them.
That means your team can connect the materials and equipment used in the field to the work they support while reducing duplicate entry and manual reconciliation.
“Property teams shouldn’t have to choose between managing maintenance in the system they already rely on and having deeper control over the inventory that makes that work possible,” said Dhanush Balachandran, Sortly CEO and Founder. “By connecting Sortly and AppFolio, we’re making it easier for teams to record what they use as the work happens. Our AppFolio Stack integration gives property management teams a more dependable record of inventory usage with the ease-of-use and operational control that is core to every new feature Sortly builds.”
How the AppFolio Stack integration works in Sortly
The integration connects AppFolio work orders with Jobs in Sortly, giving teams a structured place to manage inventory associated with each work order.
Here’s how it works:
- Connect inventory to AppFolio Work Orders: Each AppFolio work order automatically creates a matching Sortly Job, giving your team one structured place to track the physical items supporting the work.
- Record inventory activity in Sortly: Technicians can scan or select items as work happens, making it easier to keep quantities and usage current.
- Send usage back to AppFolio: Item names and quantities recorded for the Job are automatically sent to the related AppFolio work order, while detailed inventory information stays in Sortly.
- Stay aligned through closeout: When the AppFolio work order closes and the records align, the matching Sortly Job completes automatically. If something doesn’t match, Sortly surfaces the discrepancy so your team can review it before completing the Job.
The result is a more direct connection between the work being completed and the inventory being used to complete it.

Benefits of the AppFolio Stack integration for property teams
Connecting AppFolio and Sortly helps solve some of the everyday inventory challenges that can make maintenance operations harder to manage.
- Connect inventory to the right work order. Operations teams get a clearer record of which materials supported which maintenance work, instead of reconstructing activity later.
- Reduce duplicate inventory entry. Technicians can record usage in Sortly without having to repeat the same inventory update in AppFolio.
- Make field updates easier. Mobile access and barcode or QR-code scanning give technicians a faster way to record what they use where the work actually happens.
- Keep stock records more accurate. Recording usage as part of the work-order process makes it easier to keep quantities current and understand what may need replenishment.
- Manage more than work-order inventory. Sortly can also help teams organize the broader physical inventory behind property operations—including parts, supplies, tools, equipment, appliances, keys, and other assets across warehouses, properties, vehicles, technicians, and storage locations.

How the AppFolio Stack integration in Sortly simplifies daily workflows
Imagine a maintenance technician is assigned an AppFolio work order to repair a leaking sink at an apartment property.
Without a connected workflow: The technician completes the repair, then has to remember to update inventory separately. If the replacement valve or other materials aren’t recorded correctly, the inventory count may be wrong—and the operations team may not discover the discrepancy until it’s time to restock or reconcile records.
With the AppFolio Stack integration: The AppFolio work order already has a corresponding Job in Sortly. The technician opens the Job on their phone and scans or selects the valve and supplies used for the repair. Sortly updates the inventory record, and the relevant item and quantity information is sent back to the AppFolio work order.
Now the maintenance record and inventory usage are connected without asking the technician to enter the same activity twice.
And that same inventory operation can extend well beyond a single property. Teams can use Sortly to manage stock in a central warehouse, monitor what’s available in property stockrooms, organize parts carried in maintenance vehicles, and track reusable tools, equipment, appliances, or keys as they move across the business.
