How the Sortly stock counts feature works

Stock counts allows you to customize clear inventory counting processes that replace guesswork and manual data entry. Here’s how it works in 4 easy steps:

  1. Create and assign: Start a new count and effortlessly assign it to specific team members.
  2. Count in real time: Teams can perform the count on the Sortly mobile app or web, tracking quantities as they go.
  3. Resolve discrepancies: Easily compare the expected count versus the actual count and reconcile differences with clear logging.
  4. Track status: Move counts through a clear lifecycle: Draft → Ready to Count → In Progress → In Review → Complete.

 

For example, imagine you’re a warehouse lead who needs to perform a full physical count of all inventory in Aisle 5. Before stock counts, you’d print a list, manually write down numbers, and spend hours comparing that paper to a separate spreadsheet, often losing track of who was responsible for which count.

Update Quantity in Sortly stock counts

Now, with stock counts, you simply:

  • Log into Sortly and create a new Stock Count for Aisle 5. 
  • Assign it directly to, say, Team Member ‘Alex’ on their mobile device. Throughout the day, you see the status of the count move from ‘Ready to Count’ to ‘In Progress’ in your dashboard. 
  • When Alex submits the count, it moves to ‘In Review’. You instantly see a flag: 10 units of Item X are missing. Instead of guessing, you can quickly compare the expected vs. actual counts and see Alex’s notes in the system. 
  • After investigating the missing stock and confirming the updated quantity, you reconcile the discrepancy directly in the workflow and mark the count as ‘Complete’. The inventory record is instantly updated, and you can export a report with the full audit trail. No paper, no spreadsheets, and no guesswork!
